Bookkeeper (Australian Experience)

We're looking for a Bookkeeper to serve as the financial backbone for the client’s thriving, family-owned business portfolio. A highly efficient and proactive due to the fast-paced nature of the business, where errors can lead to significant financial consequences.

This is a high-impact role managing the full-cycle bookkeeping for two distinct retail entities across seven locations.

In this role, you will be the primary point of contact for all financial data, ensuring that the constant flow of invoices and bank feeds is translated into organized, actionable records.

What are you expected to do?

Accounts Payable (AP) & Purchasing

  • High-Volume Management: Take ownership of a very heavy AP workload, processing approximately 130–150 supplier purchases per month across five stores.
  • Supplier Reconciliation: Perform monthly supplier statement reconciliations to ensure ledger accuracy and maintain healthy vendor relationships.

Payroll Preparation (Weekly)

  • Workforce Oversight: Prepare weekly payroll for 90+ employees (approx. 50 at Bargain Central and 40+ at IGA), managing the complexities of a primarily casual workforce.
  • System Integrity: Audit the Deputy system to verify that all timesheets, rosters, shifts, and leave are correctly recorded and approved.
  • Collaboration: Finalize all preparation tasks for Gita to execute the final payment processing.

Reconciliations & AR

  • Daily Bank Feeds: Execute daily bank feed reconciliations—this is critical to prevent backlog growth in our fast-paced environment.
  • Accounts Receivable: Manage a light AR workload, typically involving fewer than five transactions.

Compliance & Reporting

  • BAS & GST: Complete full BAS preparation, including rigorous GST reconciliation and ensuring all GST claims are accurately captured.
  • End-to-End Cycle: Maintain the full bookkeeping cycle for seven physical locations, ensuring data is clean and audit-ready.

You’ll be a great fit if:

  • You have a minimum of 5 years of bookkeeping experience, positioning you as a senior, plug-and-play professional who can manage complex financial tasks independently from day one.
  • You must possess direct experience in the Australian accounting environment, demonstrating a solid understanding of local compliance, GST requirements, and regional financial standards.
  • You are highly proficient and efficient in Xero, capable of managing multi-entity files and high-volume data with minimal guidance.
  • You bring advanced Excel skills to the table and are prepared to pass a mandatory formula test specifically covering VLOOKUP.
  • You use Excel as a primary tool to reconcile discrepancies, verify transactions, download bank feeds for coding assistance, and compile comprehensive supplier reports regarding outstanding amounts and credit notes.
  • You operate with a critical thinking mindset and high levels of common sense, always questioning the logic behind tasks to ensure accuracy and prevent errors like double payments.
  • You maintain extreme attention to detail, ensuring that in a fast-paced environment, no transaction or reconciliation is overlooked.
